Warm Transfer

A short video and guide to warm transfers: brief the person taking your call while the prospect is on hold, introduce everyone, then leave the call.

With a warm transfer, you brief the person taking your call while the prospect is on hold, then bring the prospect back, introduce everyone and leave the call.

Start a warm transfer

  • While on a call, open the Transfer tab in the dialer.

  • Point at a person or group and click Warm. Clicking the name, or Transfer, starts a regular transfer as before. On touch screens, both buttons are always shown.

  • The prospect goes on hold while the call rings.

Brief, introduce, then leave

  • When someone answers, you can talk privately. The prospect is on hold and can't hear you.

  • Start intro brings the prospect back so everyone can hear each other. Back to private puts them on hold again.

  • Leave call hands the call over when you're done. Hand off without intro hands it over right away, and Cancel takes you back to the prospect.

For the person taking the call

  • You see who's transferring and who's on the line before you answer.

  • The rep's notes appear under Notes from and stay above your own.

  • The dialer shows when the prospect can't hear you, when you're Live, and when the call is yours.

Good to know

  • The briefing is part of the call. If the call is recorded, the briefing is recorded too.

  • If nobody answers, you'll see Nobody picked up. Choose Try someone else or Back to call.

  • In HubSpot, the call log starts with Transferred from and the notes the rep took before the handoff. Warm transfers also work in the Symbo dialer inside HubSpot.

  • Admins set up transfer groups in Org Settings → Call transfers. See Transferring Calls for how transfer groups work.
