Approving Symbo in Microsoft 365 (Office 365)

Fix the "Need admin approval" message when connecting an Outlook / Microsoft 365 mailbox to Symbo by having your Microsoft administrator approve Symbo.

How do I fix the "Need admin approval" message when connecting my Outlook or Microsoft 365 email to Symbo?

Some organizations set up Microsoft 365 (formerly Office 365) so that employees can't approve new third-party apps on their own. If yours does, Microsoft shows a "Need admin approval" (or "Approval required") screen when you try to connect your mailbox to Symbo, and the connection can't finish until a Microsoft administrator approves Symbo.

This is a setting in your organization's Microsoft account, not in Symbo, so it has to be changed by someone at your company with Microsoft admin access. Send this article to your IT team or Microsoft 365 administrator.

What Symbo asks for

Symbo asks for access to your mail, calendar, and contacts so it can send and schedule emails, sync conversations with your prospects, and power the Calendar Scheduler. Approving Symbo lets people in your organization connect their own mailbox; Symbo only accesses a mailbox after its owner signs in and connects it in Symbo.

Option 1: Request approval from your administrator

  1. In Symbo, click your initials in the top right corner, select "My Settings", then select "Email" under "Connections" and click "Connect".

  2. Sign in with your Microsoft account. When the "Need admin approval" screen appears, enter a short reason (for example, "Connect my mailbox to Symbo for sales outreach") and click "Request approval".

  3. Microsoft emails your administrator. Once they approve the request (see "For administrators" below), you'll get an email from Microsoft. Go back to Symbo and click "Connect" again.

Note: If you don't see a "Request approval" option, your organization hasn't turned on admin consent requests. Ask your administrator to approve Symbo for the whole organization using Option 2.

For administrators: approve a pending request

You need to be a designated reviewer for admin consent requests and have at least the Cloud Application Administrator or Application Administrator role.

  1. Sign in to the Microsoft Entra admin center.

  2. Go to Entra ID > Enterprise apps. Under "Activity", select "Admin consent requests".

  3. Open the "My Pending" tab and select the Symbo request.

  4. Click "Review permissions and consent", review the permissions Symbo requests, and click "Accept".

  5. Microsoft notifies the requester, and they can now connect their mailbox in Symbo. Approving the request also approves Symbo for everyone else in your organization.

Option 2: Approve Symbo for your whole organization

An administrator can approve Symbo once so nobody in your organization sees the "Need admin approval" message again. You need at least the Cloud Application Administrator or Application Administrator role.

  1. Sign in to the Microsoft Entra admin center.

  2. Go to Entra ID > Enterprise apps > All applications.

  3. Search for "Symbo" and select it.

  4. Under "Security", select "Permissions".

  5. Review the permissions, click "Grant admin consent for [your organization]", sign in if asked, and click "Accept".

Symbo isn't in the list? It hasn't been added to your Microsoft tenant yet. While signed in as an administrator, open this link, review the permissions, and click "Accept": https://login.microsoftonline.com/organizations/adminconsent?client_id=[SYMBO MICROSOFT APPLICATION ID - FILL IN BEFORE PUBLISHING]

After Symbo is approved

  • Approval usually takes effect within a few minutes.

  • Each person connects their own mailbox: My Settings > Email (under Connections) > "Connect", or "Reconnect" on an existing mailbox card.

  • Administrators: don't sign in on someone else's behalf during the Symbo connection. Whoever signs in is the mailbox that gets connected, so the admin's mailbox would be connected instead of the user's.

Still seeing the message?

  • Check that the approval was granted to the app named Symbo, and not to a different app.

  • If your organization requires user assignment, open Symbo in Enterprise apps, select "Users and groups", and add the people who need to connect their mailbox.

  • Some organizations also block apps with Conditional Access policies. Your IT team can check these in the Microsoft Entra admin center.
